How Tradespeople Can Automate Admin: A UK Guide for 2026

The six admin jobs worth automating in a trade business, what to keep in human hands, how to connect the tools you already use, and how to tell whether it is working.

The quickest way to automate admin for tradesmen is to start with the six jobs that repeat every week: answering enquiries, writing quotes, chasing quotes, chasing invoices, asking for reviews and sending service reminders. Automate the routine parts, keep a person on anything involving judgement or money disputes, and connect the tools you already use so nothing is typed twice.

The admin problem in numbers

Powered Now's NOW Report 2026, with fieldwork across heating, plumbing, electrical, building and renewables businesses in April and May 2026, puts the time tradespeople lose to admin at 277 hours a year.

HeyBRB's UK Admin Drain Report 2026, a survey of 167 small business owner-operators in March 2026, found an average of 8 hours a week lost to repetitive admin. Among the trades businesses surveyed, 77% do their admin in the evenings and nearly half at weekends. More than a third of respondents spend over 20 minutes writing a single quote.

Not all of that can or should be automated. But a lot of it is copying details from one place to another, sending the same message again, or remembering to follow up, which is exactly what software does well.

If you want to reduce admin in a trade business in the UK, the aim is not zero admin. It is moving the predictable parts off your evenings so the time you do spend goes on decisions: which jobs to take, what to charge and which customers need a call.

How to automate admin for tradesmen: six tasks

1. New enquiries

Automate: an instant acknowledgement by text or email, creating the contact in your CRM or job system, and a short form asking for photos, postcode and job type. Keep human: deciding whether the job is worth quoting, and calling back the ones that need a conversation.

2. Quotes

Automate: templates with standard line items, AI to turn site notes into a clear description, and sending the PDF from your job software. Wickes' guide to AI tools for tradespeople lists quoting tools such as Tradify and Powered Now for the formatting side. Keep human: measurements, pricing and the scope of work.

3. Quote chasers

Automate: a polite follow-up a few days after the quote, another a week later, and a flag to call on larger jobs, with the sequence stopping as soon as the customer accepts. Tradify's review of 3,271 UK trade businesses using its software found 82% of quotes became jobs on average (June 2025 to May 2026), so quote follow-up automation protects work you have already priced. Keep human: the phone call on big quotes and any negotiation.

4. Invoice chasing

Automate: reminders before and after the due date. If you use Xero, invoice reminders are built in and stop once payment arrives, so automating invoice chasing in the UK can be a settings change rather than a project for many firms. Keep human: anything past the second or third reminder, payment plans, disputes and decisions about debt recovery.

5. Reviews

Automate: a review request a day or two after a job is completed and paid, with a direct link to your Google profile, plus one gentle reminder if they have not left one. Keep human: replies to negative reviews, and the decision not to ask a customer who was unhappy. Ask every satisfied customer the same way, and never write or buy reviews.

6. Service reminders

Automate: annual reminders for boiler services, alarm maintenance or anything recurring, with a booking link and one follow-up. Keep human: customers with a history of problems, and anyone who has asked not to be contacted.

Connecting ServiceM8, Tradify and Xero

Much of the time saved comes from tools talking to each other, so check the integrations before you buy anything new.

  • ServiceM8 and Xero. ServiceM8's Xero add-on syncs invoices to Xero, and ServiceM8 says it can send booking confirmations, follow up quotes and chase payments automatically. Check those settings before building anything custom.
  • Tradify and Xero. Tradify's Xero integration, listed on the Xero App Store UK, syncs invoices, payments and credit notes both ways.
  • ServiceM8 and other apps. ServiceM8 is available on Zapier, whose ServiceM8 automation guide covers ideas such as creating jobs from other sources and saving new customers as contacts.

How to measure the hours saved

  1. Before changing anything, note each admin task for one normal week and roughly how long it takes.
  2. Count how often it happens: enquiries, quotes sent, invoices chased.
  3. Multiply to get a weekly figure for each task.
  4. After the automation has run for a month, measure again in the same way.

As an illustration only: if you chase 15 invoices a week at 10 minutes each, that is 2.5 hours. If automatic reminders handle the first two chasers and only three invoices still need a phone call, most of that time comes back. Your own numbers are what count, which is why the before and after measurement matters.

Track the outcomes too: how many quotes are accepted, how long invoices take to be paid, and how many reminders turn into bookings. An automation that saves an hour but loses customers is not a win.

Where to start

Start with the task that repeats most and carries least risk. For most trades that is quote follow-up or invoice reminders, because the messages are predictable and the benefit shows up quickly in accepted quotes and faster payment. Enquiry acknowledgements are another easy first step. Leave anything involving pricing decisions or disputes with a person.

Do I need a CRM to automate admin?
