n8n vs Zapier for UK Small Businesses: Cost and GDPR

Zapier is easier to start with; n8n is usually cheaper for multi-step workflows and gives you more control over data. Here is how the pricing, hosting and AI features compare for a UK small business.

For most UK small businesses comparing n8n vs Zapier, Zapier is quicker to start with and easier for a non-technical owner, while n8n is usually cheaper once workflows have several steps and gives you more control over where data is hosted. If you want a simple automation running this afternoon without help, pick Zapier. If you want multi-step workflows with AI at a predictable cost, or UK hosting, n8n is usually the better fit.

n8n vs Zapier for small business: the short answer

  • Choose Zapier if you want the gentlest learning curve, a huge app library and a few simple, low-volume automations.
  • Choose n8n if your workflows have many steps, include AI, run often, or need to be self-hosted for data control.
  • Consider Make if you want a visual builder that sits between the two, with credit-based pricing.
  • Choose neither yet if you do not have a clear process to automate. Software will not fix a vague process.

Pricing models: executions vs tasks

This is the biggest practical difference. Zapier bills by tasks: each successful action in a Zap counts as a task, so a five-step workflow uses several tasks every time it runs. Checking for new data does not use tasks, and failed actions do not count. AI steps and code draw from the same task allowance, at rates that vary.

n8n bills by executions: one execution is one full run of a workflow, however many steps it has. A 20-step workflow that runs once is one execution. Make sits in between: each module action counts as one credit.

Both vendors show GBP prices directly, so we have used those rather than converting from dollars. For reference, Zapier's US page shows Professional from $19.99 a month paid yearly.

A worked cost example for a trade business

These figures are illustrative, to show how the two pricing models behave. Your volumes will differ. Imagine a heating firm with two workflows:

  • New enquiry: a web form arrives, the contact is created in the CRM, an AI step classifies the job type, the customer gets an acknowledgement and the owner gets a message. That is four actions after the trigger. Say 250 enquiries a month.
  • Quote follow-up: three days after a quote, the workflow checks it is still open and sends a reminder, then does the same at seven days. That is two actions per run. Say 150 quotes a month, so 300 runs.

On Zapier: 250 × 4 = 1,000 tasks, plus 300 × 2 = 600 tasks, so 1,600 tasks a month, assuming the AI step uses one task (Zapier says some actions use more). That fits the 2,000-task Professional tier at £37.51 a month paid yearly, or £56.26 paid monthly.

On n8n Cloud: 250 + 300 = 550 executions a month, well inside the Starter plan's 2,500 at £20 a month paid yearly, or £24 paid monthly.

Now double the volume and add three more steps to the enquiry workflow. Zapier becomes 500 × 7 + 600 × 2 = 4,700 tasks, which needs the 5,000-task tier at £68.12 a month paid yearly. n8n becomes 500 + 600 = 1,100 executions and stays on Starter. That gap is why n8n tends to win on cost as workflows grow. On either platform, AI model usage can add a separate cost depending on how it is connected.

Do not choose on price alone

A £20 difference a month is small next to the cost of an automation that breaks quietly. Pick the tool that whoever looks after your automations can actually maintain.

Ease of use and who looks after it

Zapier is easier. Its editor runs top to bottom, it says it connects to over 9,000 apps, and most owners can build a simple two-step Zap without help.

n8n is closer to visual programming. It handles branching, loops, error handling and code steps well, but you get far more from it if you understand data structures and APIs. Non-technical owners can build simple flows, but complex n8n workflows are usually built by someone technical.

The hidden cost with either tool is maintenance. Apps change, connections expire and odd cases appear. Whoever builds the automation needs to watch it, so price that in from the start.

Hosting, UK data and GDPR

This is where n8n has a structural advantage. n8n states on its pricing page that data on its hosted plans is stored in the EU, on servers in Frankfurt, Germany, and that self-hosted data lives wherever you host it. You can self-host n8n on a UK server, so workflow data never has to leave the UK.

Zapier states that it hosts data on AWS servers in the United States. It has certified to the EU-US Data Privacy Framework and its UK Extension, and it offers a Data Processing Addendum.

Neither is a deal-breaker under UK GDPR. Transfers abroad are allowed under adequacy regulations or with appropriate safeguards, as the ICO's international transfers guidance explains, and UK hosting is not a legal requirement. But if you handle sensitive data, or customers ask where their data lives, 'on a UK server we control' is a simpler answer.

Self-hosting has a cost of its own: someone has to apply updates, take backups and secure the server. If nobody in your business will do that, n8n Cloud or a managed setup is the safer choice.

AI features compared

  • n8n lists an AI Agent node, AI steps, MCP support and human approval for tool calls on its plans. You can connect your own model accounts, such as Claude or OpenAI, or use n8n's own credits on cloud plans.
  • Zapier offers AI steps inside Zaps, Zapier Copilot to help you build, MCP, and separate Agents and Chatbots add-ons. AI steps draw from your task allowance.

For simple AI jobs, such as summarising a form or drafting a reply, both work. For multi-step AI work with checks, retries and approval stages, n8n gives more control, and its per-execution pricing means extra AI steps do not raise the cost of each run.

Frequently asked questions

Is n8n free?

The self-hosted Community edition of n8n is free to use, but you pay for the server and need someone to install, update, back up and secure it. n8n Cloud, where n8n hosts it for you, starts at £20 a month paid yearly for 2,500 executions on the Starter plan, as listed in October 2026. For most small firms the real cost is time, not the licence.

Is self-hosted n8n GDPR compliant?

Self-hosting gives you control over where data lives, which helps, but compliance depends on how you run it. You still need security updates, access controls, backups, sensible retention and a record of what each workflow processes. If an AI step sends data to a model provider, that provider's terms and location matter too. Self-hosting on a UK server is an option, not a legal requirement.

Can I move from Zapier to n8n later?

Yes, but in practice each Zap is rebuilt in n8n and retested rather than imported in one click. Simple Zaps are quick to rebuild; complex ones with filters and paths take longer. If you expect your automations to grow, starting on n8n can save a move later. If you have a handful of simple Zaps that work, there is little reason to switch.

Which is better for AI automations?

For simple AI tasks such as summarising a form or drafting a reply, both work well. For AI workflows with several steps, checks and human approval, n8n usually gives more control, and because it charges per execution rather than per step, adding AI steps does not increase the cost of each run. Zapier is quicker to set up for a one-off AI step.
